Development Operations Manager

Full Time/ Eligible for Benefits

Minimum starting pay for this role is $80,000 annually. Additional consideration will be given, depending on relevant qualifications and experience.

The Development Operations Manager is responsible for the donor database including processing and acknowledging gifts and pledges, creating, and running reports and queries, exporting, and importing data, mail-merging, coding, configuration management, user support calls, and maintaining the integrity and consistency of all donor records. This position provides development services to all key areas of the department including Steward level/Pacific Circle membership, major gifts, grants, events, capital campaign, and annual programs. This position also works closely with other departments such as Finance, Guest Services, Guest Support Center, and Information Technology to implement all processes related to the donor database.

ESSENTIAL FUNCTIONS

  • Supervising donor records within the donor database including processing and acknowledging gifts, running reports and queries, exporting, and importing data, mail-merging, coding, configuration management, client support calls, and maintaining the integrity and consistency of all donor records.
  • Playing a lead role with the adoption of Salesforce Nonprofit Cloud and the migration of all donor records into the new CRM
  • Supervising the acknowledgement and fulfillment process for all gifts to ensure timely and accurate donor stewardship.
  • Providing comprehensive donor giving lists for the impact report, donor walls, and other donor recognition installations and publications.
  • Providing mailing lists for steward level and Pacific Circle membership, major gifts, grants, events, annual programs, and capital campaign.
  • Providing comprehensive data analysis for the Development department including revenue reports and dashboards, as well as custom reports for various programs within development.
  • Managing all outstanding pledges and ensuring timely reminders are sent in advance of installment date.
  • Maintain donor recognition records which include but not limited to Glass Guild, Theater Seats, and exhibit sponsorship.
  • Building and refining the department’s understanding of its constituents and working collaboratively with development staff to develop strategies to leverage constituent data for the advancement of the organization’s goals.
  • Developing and maintaining daily, monthly, and annual audits to ensure complete accuracy in processing and data integrity.
  • Working with the Finance department to reconcile development and finance records, provide timely and accurate financial reports on a daily, monthly, and as needed basis.
  • Maintaining a sophisticated understanding and ability to identify problems related to the integration between the donor database, Convergence, the Galaxy Gateway ticketing, and membership database.
  • Maintaining hard copy and/or electronic donor files in accordance with institutional needs, donor privacy policy, and financial compliance.
  • Training staff on best practices related to the donor database. Informing staff of CRM or other external learning opportunities that may be of interest.
  • Supervising all gift giving platforms
  • Supervising development volunteers as needed.
  • Additional responsibilities may be delegated due to the culture of the aquarium.

KNOWELDGE & SKILLS

  • Bachelor’s Degree preferred, equivalent experience acceptable.
  • Excellent organizational and interpersonal skills
  • Excellent communication skills both oral and written.
  • Excellent strategic planning and analytical skills
  • Excellent computer and technical skills with all Microsoft Office programs and database management
  • Extensive experience with Sales Force Nonprofit Cloud and Raisers Edge database preferred.

QUALIFICATIONS

  • Minimum three to five years’ experience in database systems and gift processing, preferably at an aquarium, zoo, museum, university, or other non-profit organization
  • Experience working directly with members or donors.
  • Proven track record in setting challenging goals and achievement.
  • Experience in handling sensitive situations with diplomacy.
  • Demonstrated ability to understand and troubleshoot multiple databases.
  • Proven ability to manage multiple projects/programs simultaneously, setting proper priorities within deadlines.
  • Proven ability to work collaboratively as a team member and part of a larger development operation and develop programs that maximize fund raising income from members.
  • Proven ability to work collaboratively with other departments.
  • Proven ability to motivate, coach, train, and supervise staff.
  • Track record of setting and managing procedures and systems necessary for the operation of a large and complex member database system
